Test Environment Setup
Upload the initial data into T&E Express using Excel spreadsheets to configure a... (esta frase también quedó cortada en la captura — ¿me pasás el resto?)
Initial data upload:
Fill in the file templates provided by T&E Express:
Companies
Cost centers
GL Accounts
Categories
Receipt types
Users
Petty Cash
Things to keep in mind:
GL Accounts and cost centers: The GL Account and cost center codes must match the ones used by the company's ERP.
Categories: Categories are what the user sees to categorize an expense. Multiple categories can belong to the same GL Account.
Users: Every user entered in the Excel file will have access to T&E Express. Each user must have their own line in the file with their information — for example, if you enter an approver or assistant, you must also add a line with that person's data.
The user's cost center must exist in the cost center spreadsheet.
Tasks to complete in the test environment:
This section is done once the information has been entered into the T&E Express system.
Tasks to complete:
Download the mobile app from here to test its functionality.
This version is only available for Android; once we migrate to production, it will be available for all operating systems.
In this test environment, email notifications are not sent, so you can run tests without any issues.
Perform the tests listed below in the testing environment:
Cash Advances:
Request several cash advances.
Go through the approval workflow and set the status to "To Report".
Expense Reports:
Create an expense report linked to the first cash advance, for the same amount.
Create an expense report linked to the second cash advance, for a higher amount.
Create an expense report linked to the third cash advance, for a lower amount.
Create expense reports without linking them to cash advances (with and without Magic Scan), applying multiple taxes (you can use real invoices or create test cases). It's recommended that these expense reports include several expenses for a more complete test.
In one expense report, allocate the expense across different and multiple cost centers.
Create expense reports charged to companies other than the one defined for the user.
Go through the approval workflow and set the status to "Reported".
Corporate Credit Card Expense Report:
For these tests, go to the Corporate Card Statement Upload guide, where you'll find all the information needed to upload the card statement.
Expenses linked to a "personal expense".
Expenses linked to an "unrecognized expense".
Expenses with a negative amount.
Expenses with taxes and allocation to multiple cost centers.
Expenses in installments.
Expenses charged to other companies.
Keep in mind:
When importing charges automatically, card charges that aren't assigned to any user may appear. In those cases, Finance/Accounting must manually assign the card numbers to the corresponding users.
